How it works
Built and run by us. Fitted to your program.
Zen Health Systems designs, builds and operates the tools a clinical program runs on, on infrastructure that carries the security and compliance burden. Your admins configure them to your programs, your staff propose changes through co-design, and your people decide everything that matters, on the record. Nobody on your side ever touches code.
The problem
Programs run on whiteboards, spreadsheets and memory.
The whiteboard
The chase
The handoff
Zen Health Systems gives the program one shared place for that work: purpose-built tools beside the EHR, with more governance than the spreadsheets they replace, not less.
How it fits
Three layers.
- 01
Start from the catalog
Your deployment ships with the standard tools on from day one, and your admins activate the clinical tools your services need: Pathway Navigator, Managed Care, Resource Manager and more. Every tool is designed, built, tested and operated by Zen Health Systems on our healthcare foundation, so the security architecture, access model and compliance documentation come with it.
- 02
Fit it to your service
Two layers. Configuration is yours, with no code involved: your admins define pathways, term lists, policy rules, roles and departments in the product itself. Changes go through co-design: designated staff talk a change through in the Co-Designer chat, it becomes a proposal, and Zen Health Systems accepts it onto the build list, raises a decision to your admins, or declines it with a reason on the record. Every consequential choice, who sees what, what gets stored, what happens on deletion, is put to your people as an explicit, recorded decision. Nothing merges, deploys, or reaches your staff without a named person's review.
- 03
Runs on your instance
Every tool your institution runs lives in one application: one login for your staff, tools opening side by side, and an instance that is yours alone. We host, patch, secure and operate it. Your IT department gets a governed portfolio, every tool visible, every tool with a named steward, every tool archivable in one click, instead of a sprawl of vendors or spreadsheets.
Release governance
Every tool earns its way out.
No tool reaches your staff in one leap. Every build moves through named stages your people can see, and the gate between each stage is a recorded sign-off by your people, not ours.

Live
Scrutiny scales with data sensitivity, the same proportionality logic as your own change advisory board: staged, recorded, and reversible. Because every gate is a recorded decision, each tool carries its own release history, exportable, next to its decision log.
One product
Your requests improve it for everyone.
Who gets an accepted change
Need a tool the catalog doesn't have?
Policies
Your policies become software.
“Your policies, mined into draft rules with verbatim citations. Nothing takes effect until your people approve it, on the record. What runs in production is deterministic: rules fire, agents reason.”
Hand us your infection-control SOP and the platform drafts the operational rules it implies, each one carrying a verbatim excerpt of your own document as its citation. Your people approve each rule; only then does it run, and what runs is a deterministic engine, currency lapses, expirations, overdue cadences, not an AI improvising. When a surveyor asks “show me the policy behind this practice,” the answer is a click.
The catalog
Don't start from zero.
Every deployment ships with a standard set of tools on from day one, plus a catalog your institution activates tool by tool, each one fitted to your programs through configuration and co-design. A catalog tool accelerates adoption, never the sign-offs: it arrives pre-built, never pre-approved.
